Key Person /Settling Visits

You and your child will be allocated a key person (nursery only) when you commence with us.  This person will be the main carer for your child and will be your first point of contact at the nursery.  A buddy key person will also be assigned, to carry out duties in the absence of the main key person.

You are welcome to arrange as many settling in visits with your child as you wish. On the first visit you stay with your child, this is a chance for us to really get to know you and your child and find out all key information to help settle them. On the second and any subsequent visits we recommend that you leave your child for an hour. You will not be able to leave your child with us unless we have received your completed admissions forms.

Parental Input & Partnership

At Poppetts we value all comments regarding our setting; the manager is available to discuss comments or concerns. We operate a Parents / Staff Committee, where policies and procedures are reviewed in partnership with the manager and proprietors, please ask for information if you are interested in joining.

Security/collection of children

We are open from 7.45 am to 6pm for the Nursery, OSC & the Holiday Club.

At the end of every session, the Setting will ensure that all children are collected by a parent, carer or designated adult, in accordance with the Arrivals and Departures policy 7. We will contact emergency collectors first and keep in contact with parents/carers during this time. If for some reason a child is not collected at the end of a session, we will continue to follow policy 7.

Late Collection

Children need to be collected by 6.00pm (5.30pm for Holiday Club, unless booked and paid for the additional 30 minutes) as this is the time that Poppetts closes. If you wish to have a conversation with your child’s key person please ensure you arrive with time to do this before the 6.00pm close. If you are going to be late please contact your emergency collectors as staff need to go home to their own families. Late charges are £5.00 for the first £10 minutes and £5.00 for each 5 minutes thereafter.

Parking

Parents MUST NOT use the School car park or Poppett’s parking spaces, to drop off or collect their children. These restrictions apply as part of the Poppett’s lease agreement with Long Ridings School. Please note that Long Ridings Avenue has a parking restriction between 10-11am daily.

 

Safeguarding

We follow the guidelines set out by the Local Child Protection Unit and the NSPCC, notifying them if we feel any of the children in our care are subject to abuse, and our own Safeguarding Policy 33. All staff are made aware of Whistle Blowing procedures and advised to do so if they have any concerns. All staff are made aware of their responsibility in regards to The Prevent Duty. We fully train all staff annually in their roles and responsibilities regarding safeguarding children. We have two designated safeguarding officers at the setting, in their absence the manager will take lead. All staff hold a clear enhanced DBS check clearance (Disclosure and Barring Service Check).

Mobile phone policy

We follow current guidelines which do not allow any mobile phone/device in the rooms where children are present.

Illness/Medication

If children become ill whilst at Poppetts we will contact parents to gain consent to administer Calpol, if a child remains ill after 1 hour parents will be asked to collect their child and make a doctor’s appointment. Whilst we appreciate the dilemma of working parents when children are ill we will ask for the child to be kept at home until they are recovered, so that the child can be cared for on a one to one basis, which is not practical in a nursery environment. Children should be kept away from Poppetts for at least 24 hours to ensure they are well, and to prevent the spread of infection to others.

Accidents

Staff will inform parents of any accidents in full as they occur, and ask them to sign the accident record book. A qualified first aider is present at all times.

Equality, Diversity and Inclusion

At Poppetts we welcome all adults and children as individuals, promoting a caring and welcoming atmosphere to ensure that everyone may achieve his or her own potential, regardless of disability, gender, race, special need.

Special Educational Needs

We have a fully trained fulltime Special Educational Needs coordinator to ensure that we work with parents and other Professionals to meet the needs of all children that attend our setting.

Behaviour Management

All staff act as positive role models to the children at all times. Children are encouraged by praise and positive reinforcement to act in an acceptable manner. Parents are fully involved in finding a mutual working plan when necessary, using positive images, books and targets to help their child to deal with their behaviours.

Early Years Foundation Stage (Nursery only)

Full information on how we implement the EYFS will be discussed with you during your settling in visits with your key person. We have a full range of leaflets available for your information in the foyer and on our website. We will work in partnership with you to ensure that your child has the best care and education for their individual needs.

Baby sitting and transporting children out of Poppetts working hours

Please note that at Poppetts we strive to develop relationships with our families. From time to time parents may request individual staff member’s babysitting services outside of Poppetts working hours. Any arrangements made are between individual members of staff and families. They are privately arranged and are not the responsibility of Poppetts and to this end Poppetts are not responsible or held liable in any such way. For example, Poppetts cannot be responsible for any Health and Safety or any other issues that may arise from these private arrangements nor shall we be held accountable for any illness or medical emergencies that arise during any babysitting arrangements. This also applies to private arrangements made between Parent/s and staff members regarding transporting children to and from Poppetts in staff members own vehicles.

 

Nursery Fees

When a nursery place is offered, parents are required to pay a registration fee of £50 and the first month’s fees to secure the place (unless you are only accessing the core 2 and 3 year old funding). We are unable to refund fees if a place has been offered, accepted but not commenced.

Fees are payable calendar monthly, in advance, on or before the 1st of each month (weekly fee x 52 divided by 12).  Fees that are paid late will incur a £25 a week fine. No adjustment is made for Bank holidays or Christmas closure as these have been taken into account when calculating the fees on an annual basis. Fees are payable whether sessions are attended or not, through sickness, holidays, unexpected closure (through weather / emergency conditions)

The start date cannot be delayed, or attendance days changed unless agreed. At least 6 weeks’ notice (to expire at the end of a calendar month) must be given in writing if the number of sessions is to be reduced, changed or if you wish to terminate you contract and leave the setting. *The end of a calendar month does not apply to children leaving to go to school

Free Early Education Entitlement

 

The Government Free Early Education Entitlement (FEEE)  allows us to claim up to 15 hours per week (570 hours per year) of funding for all 3 year olds and 4 year olds, from the term after they turn 3 years of age. Some parents may be eligible to claim the extended 30 hour a week funding, which is up to 1140 hours per annum for eligible 3 and 4 year olds. The 30 hours of funding will be available from September 2017 for those parents meeting the criteria. (You will be told directly by the government if you are entitled).

 

At Poppetts, we offer FEEE in 2 ways:

 

  1. Two fully funded (FEEE) places per day where priority is given to children previously in receipt of 2 year old funding with us
  2. The remainder of our places are offered as a stretch offer, with a consumables charge.

 

When your child is eligible for the above we will ask which place you would like to apply for and if moving to a new fully funded only place a new contract will be issued. NB Your full year round place is secure with the stretch funding until your child leaves for school. Should you wish to take a 38 week, fully funded, term time only place, please be aware these are not guaranteed as only 2 places are available per day and a new contract will need to be signed. These places are also only guaranteed on a term by term basis and are offered on days of the Nursery’s choosing, which may be altered to suit the needs of the Nursery.

38 Week Fully Funded (FEEE) Places (Only 2 places per day available)

 

15 hours per week FEEE (570 hour offer) These places are available for a child 7.5 hours per day, and up to a total of 15 hours per week. The funded hours are between 9.00am and 4.30pm, 38 weeks of the year, term time only.

 

30 hours per week FEEE (1140 hour offer) These places will be available for children of eligible parents from September 2017. The funded hours are between 9.00am and 4.30pm up to 4 days a week 38 weeks of the year, term time only.

 

This funding has no monetary value to parents. Parents will only be billed for additional hours or services that have been agreed and which are chargeable. These 38 week funded places do not come with a guarantee of an ongoing place.

 

Stretch Funded Places

These places are available for a child that attends our setting all year round. As the funding covers the care and education only of the child, additional charges are payable. Additional hours over and above funded hours are chargeable. A daily additional charges supplement on funded days covers consumables, additional services and guarantees your child’s place.

 

 

15 hours FEEE (570 hour) Stretch Funding Offer

This is offered at 11.18 hours per week over 51 weeks for all children. This equates to 5.59 hours per day over 2 days each week. Children must attend a minimum of 3 days per week.

 

30 hours FEEE (1140 hour) Stretch Funding Offer

This is offered at 22.35 hours per week over 51 weeks for eligible children. This equates to 7.45 hours per day over 3 days each week. Children must attend a minimum of 3 days per week, unless we do not have the 3rd day available.

 

Eligibility for 30 Hours FEEE

The Local Authority will issue an eligibility code to parents. This eligibility code and original copies of documentation must be seen by the setting. The setting will acquire consent from or on behalf of the parent to be able to receive confirmation and future notifications for the LA of the validity of the parent’s 30 hours eligibility code.

It is the LA’s responsibility to notify the setting where a parent has fallen out of eligibility and inform them of the grace period end date. The child’s place will be terminated at the end of the grace period unless the parent pays in full, all fees due.

 

Early Years Pupil Premium(EYPP)

This is paid by the council to the Setting for all eligible 3 and 4 year olds accessing the FEEE. The EYPP is calculated by the council and used to benefit the child whilst at the setting

 

 

Two-Year-Old Funding

We will work with and follow all ECC guidance on 2 year old funding and eligibility criteria which follows the general principle that the offer for 2 year olds is exactly the same as the offer for all 3 & 4 year olds. See 38 week funded places above. An exception of this funding is that it cannot be split between two settings. Parents should speak to the manager should they feel that their child could be eligible for 2 year old funding.

 

 

Out of School Club Fees

Fees for out of school care are payable during term time only.  Fees are payable whether sessions are attended or not, through sickness, holidays, unexpected school closure (through weather / emergency conditions).  Bank holidays and school inset days are not charged. Fees are payable by the first day of attendance for the OSC.

Holiday Club Fees

Fees for the holiday club are payable in advance. Places are only confirmed once a place is paid for in full. Fees are payable whether sessions are attended or not (days cannot be changed once confirmed) through sickness, holidays, closure (through weather / emergency conditions)

Fee Review

Fees are reviewed annually to take effect from the 1st May at Nursery and 1st September for the OSC

Complaints Procedure

Our Setting is committed to providing a safe, stimulating, consistent and accessible service to children and their parents/carers. We always aim to provide high quality services for everyone, but accept that sometimes things do not always go to plan. In such circumstances, we want to know so that we can put them right and learn from our mistakes.  Please speak to us immediately should you have any concerns and we will do our best to sort things out.  If still not satisfied after this, then Ofsted can be contacted.
